Policies & Procedures
Please review our policies and procedures. We hope that you find them helpful as you begin the process of joining our AcroSports Gymnastics programs. To ensure the safety of our students, the consistency of our programs and to provide the best value to you, our customer, and these policies will be strictly enforced.
AcroSports is pleased to offer you and your child a free trial class on a space available basis. The process is simple - just call our office, and we will help you get your child in the proper class for the trial at a day and time that is convenient for you, subject to availability. The time and date of your free class may be different from the class you choose to permanently sign up for. You will not be charged a Registration Fee until you have picked your permanent class.
Class Enrollment - School Year
AcroSports does not require students to continue for any specific number of weeks or months. We assume that students enrolled during the school year will continue classes until the school year session is over at the end of May. Students can be enrolled in a class at anytime during the school year and are automatically re-enrolled for the next month during that session, guaranteeing their spot in the class. Since class times change with each session, current students must re-enroll for a new class when a new session begins (i.e. summer or school year). As a member of AcroSports, students with a current 12 month registration fee are given early preference when registering for new session classes. Registration fees also cover our special Show-Offs celebrations, which are held before Christmas, at the end of the school-year session, and at the end of the summer session. During Show-Off weeks, each student is given a chance to perform for their parents and is awarded a Show-Offs medal. There is no extra charge for Show-Offs.
Class Enrollment - Summer
Summer classes are enrolled for the entire session (June-August) and a discount is already applied to the session total. We know that summers are busy, so we do allow up to 3 makeups for absences during the summer session. Enrollment during the summer session can be easily done online and is prorated for the amount of the session remaining. A new registration fee is not charged at the beginning of a new session, only at the end of the 12 month period. If your child is just starting with AcroSports in the summer, then that is when their 12 month annual fee will begin. As a member of AcroSports, students with a current 12 month registration fee are given early preference when registering for new session classes. Summer students will participate in the Summer Show-Offs week and receive a medal at the end of the summer session at no additional charge. *Does not apply for the Summer Session. There are NO drops allowed for Summer*
Absence and Make-up Policy
Make-ups can be done at any time during the session (school year or summer) on a space available basis as long as your child is enrolled in our program. They are on a first come-first served basis. Make-ups are limited to one make-up per month due to illness. We cannot guarantee the same time, date or teacher for your make-up. Please call the office to schedule your make-up class. Make-ups can only be scheduled one (1) at a time and only up to one (1) week in advance. If you are unable to attend your scheduled make-up class, you must call our office in advance to cancel or reschedule. If you No-Show to a make-up class, you will not be permitted to reschedule. Make ups must be done while your child is enrolled in the program and not permitted after you drop.
Dropping a Class
AcroSports understands that sometimes circumstances require students to drop a class during the session, although for the continuity and consistency of our programs we hope that by enrolling for a class, parents make the commitment to their children to continue supporting their class participation during the entire session. We know from 31 years of teaching that progress in our disciplines is made over long periods of time and nothing can be gained by starting and stopping classes. We also know that students often take weeks if not months to get into the complete enjoyment of the class and should be given adequate time to acclimate to their class structure. Fortunately, we recognize that sometimes family circumstances change and class participation has to be postponed. For these circumstances, AcroSports offers a very easy and straightforward process for dropping a class. A written drop notice (verbal notice is never sufficient) must be emailed to email@example.com prior to the 15th day of your child’s last month of class. All emails are date stamped so there will be no question as to when AcroSports was notified of a drop notice. During the last month of classes AcroSports will automatically bill your last month as usual, then your child will be dropped from class at the end of their last month. For example, if a parent desires to drop their child from a class at the end of the month of March, an email notice must be sent to firstname.lastname@example.org prior to the end of February. March tuition will be billed as usual on the 5th of March, the child will continue classes during March, and will be dropped from classes at the end of March. If written notice is not received by the 15th of March, then billing and classes will continue during April and the child will be dropped at the end of April. *Does not apply for the Summer Session. There are NO drops allowed for Summer*
All of our AcroSports programs are EFT billed automatically to your credit card on file on the 5th of each month. Late charges of $15 if payment is not made by the 3rd day after the 5th. Any check that has to be re-deposited will also incur a $35 handling fee that will be billed automatically to your credit card on file. In the event that a credit card is denied and payment cannot be made in the office by the 10th of the month, the child will be dropped immediately from class. Once a tuition payment is billed it is non-refundable.
Annual Registration Fee
The first time each calendar year that a student registers for a class, an annual registration fee is due. The annual registration fee is $35 and for the 12 months following the registration payment, the student is considered a member of AcroSports and will be able to take advantage of member discounts and opportunities. The benefits of membership include being able to register early for classes, participation in 3 Show-Offs Weeks per year, discounts on birthday parties, discount pricing on special events and more. The registration fee will be billed automatically every 12 months your child is enrolled in a class and is non-refundable.
A discount of 15% is given to any additional class in any of our programs by an individual student. For example, if a child is taking a gymnastics class and wants to take another gymnastics class, the 2nd class will receive a 15% discount from our standard tuition. A sibling discount of $5 is offered to any children of the same family taking classes during the same session. Please see the front desk for military and first responder discounts
If a class must be cancelled due a facility-related incident, a make-up class will be scheduled. Please make sure that your email address on file is current since we will use email first to alert customers of an emergency closure
Your child’s safety is our primary concern. Students are not allowed to leave our building without a parent or responsible adult. No children are allowed in the parking lot without a parent or responsible adult. Our parking lots are busy, so please carefully supervise your children while walking to and from your car. Children must be picked up immediately after their classes end. The AcroSports staff is not allowed to supervise children after classes and a fine will be assessed for late pickups.
AcroSports assumes no liability for any lost or stolen items, either inside the buildings or in the parking lots.
